Cancellation & Refund Policy

1. No Cancellations or Refunds

• All bookings and advances with Sudarshan Sanchari Tours are strictly non-refundable and non-cancellable — please confirm your availability before paying.
• This applies equally to Indian and foreign participants: no full or partial refunds are issued for any reason, including personal emergencies, travel delays, or inability to obtain visas or permits.

2. Booking Transfers (Indian Nationals Only)

• If you cannot travel, you may transfer your booking to another person by writing to us at least 30 days before the departure date.
• Transfers are available to Indian nationals only. Foreign nationals are not eligible for booking transfers.
• The replacement traveller must meet the tour’s eligibility and fitness requirements; cycle-fitment details must be re-shared.
• One transfer per booking is permitted and is free of charge.

3. Operator-Initiated Cancellations

• If we cancel a tour due to insufficient group numbers or force majeure (natural disasters, political unrest, government advisories), you may choose: a full refund to the original payment source, credited within 5–7 business days, or a free reschedule to a future departure.
• We are not liable for any additional costs you may have incurred (flights, visas, accommodation) in preparation for the cancelled tour. This is why comprehensive travel insurance is strongly recommended.

4. How to Request a Transfer

• All transfer requests must be submitted in writing at least 30 days before departure. We accept requests via email to support@sudarshansanchari.tours with "Booking Transfer" in the subject line, or via WhatsApp message to +91 76250 85119 (text message, not voice call).
• Include your booking reference and the replacement traveller's full name, WhatsApp number, and height (for cycle fitment). Verbal requests are not accepted.

5. No-Shows

• If you do not arrive at the departure point on the agreed date and time without an approved transfer, no refund will be issued.

6. Travel Insurance

• We strongly recommend that all travellers purchase comprehensive travel insurance at the time of booking. A good policy should cover trip cancellation, medical emergencies, evacuation, and loss of belongings. We are happy to advise on what to look for, but we do not endorse any specific provider.
